Paragraph Formating :

Paragraphs can be aligned with the left or right margin, centered between the two margins, or justified. To adjust alignment, or other attributes .

1.Aligment
  • Select the paragraph(s)
  • Click the appropriate alignment button on the stander toolbar.(Left , Right,Center,Justify)
    or
  • Go to Format menu and click paragraph to open paragraph dialog box
  • Choose indent and paragraph tab and choose Align from Aligment dorpdown list.
  • click ok .
Shortcut Key Paragraph

Ctrl + L

Left Align

Ctrl + E

Center Align

Ctrl + R

Right Align

Ctrl + J

Justify Align

2.Indentation

It is used to show the paragraph and sub paragraph more clearly or to create distance between left margin and paragraph text when needed. When you increase or decrease indenting, you change the distance of the text from the margins. When you create a hanging indent, you offset an element, such as a bullet, number, or word, to the left of the first line of text .

  • Select the paragraph(s)
  • Go to Format menu and click paragraph to open paragraph dialog box
  • Choose indent and paragraph tab and define indents in Left or RIght Dropdown List ..
  • Choose First line indent and hanging indent in Special Dropdown List or type number in by Dropdown List if you required .
  • click ok .
    Or (by use ruler )
  • Select the paragraphs you want to indent.
  • If you don’t see the ruler, point to the top of the document window to display the ruler, or click Ruler on the View menu.
  • To change the left indent of the first line of text, drag the first-line indent marker at the top of the ruler.
    • To change the indent of the second line of text, drag the left indent marker.
    • To change the left indent for all lines of text within a paragraph, drag the box underneath the left indent marker.
    • To change the right indent for all lines of text, drag the right indent marker.
To Increase or Decrease indent on stander toolbar (Increase and Decrease icon)

3. Spacing : Distance between line or paragraph

  • Open paragraph dialgo box
  • Choose indent and paragraph tab Define paragraph Spacing Before and After
  • Choose line spacing (single,1.5,Double....) or type Number in At Dropdown list .
  • click ok .
Shortcut Key Spacing
CTRL + 1 Single line
CTRL + 2 Double line
CTRL + 5 1.5 line Spacing
Moving (Cutting) Text :
  • Highlight the text that will be moved
  • Go Edit Menu and click Cut .
    Or
  • Click the Cut button on the standard toolbar
    Or press CTRL + X at once .
    This will move the text to a clipboard
To move a small amount of text a short distance, use drag-and-drop method may be quicker. Highlight the text you want to move, click the selection with the mouse, drag the selection to the new location, and release the mouse button
Copying Text : Duplicate the text
  • Highlight the text that will be copy
  • Go Edit Menu and click Copy .
    Or
  • Click the Copy button on the standard toolbar
    Or press CTRL + C at once .
    This will move the text to a clipboard
Paste Text :

To paste cut or copied text, move the cursor to the location you want to move the text

  • Go to Edit menu and Click Paste
    Or
  • Click Paste button on the standard toolbar, Or press CTRL + V
The Clipboard :

The last 24 elements that were cut or copied are placed onto Word's clipboard. You can view the elements on the clipboard by selecting View---Toolbars---Clipboard from the menu bar.

place the mouse arrow over each element in the clipboard to view the contents of each item and click on an element to add its contents to the document. Click Paste All to add all of the items to the document at once. Click the Clear Clipboard button (the icon with an "X" over the clipboard image) to clear the contents of the clipboard

Drop Cap :

Formats a letter, word, or selected text with a large initial character or “dropped” capital letter. A “drop cap” is traditionally the first letter in a paragraph, and it can appear either in the left margin or dropped from the base line of the first line in the paragraph

  • Select your paragraph to which you want to drop
  • Go to Format Menu and click Drop Cap
  • Choose position , options i.e. Font, number of lines to be dropped,distance between text..
  • Click on Ok
Column :

Columns can help to separate sections of your document and make them look more inviting to read. Columns are a good way to separate sections of your document on one page. For example, when creating a newsletter or bulletin, columns will give a more professional look

  • Select your text to which you want divided in to cloumn
  • From Format menu click on Column.
  • Select a number of column or other option (i.e width and spcacing, line between. )
  • Click on OK
Change Case :
  • Select your text first
  • Go to Format Menu and click on Change Case.
  • Choose your options.
  • Click on OK
