Page Margins:

Page margins are the blank space around the edges of the page .Using the Ruler line is a quick way to adjust margins.

  • If the Ruler is not displayed, Go to View menu and Click on Ruler .
  • Move your cursor to the Ruler line and position it over the margin you want to adjust
  • The cursor takes the shape of a double-headed arrow.
  • Click and hold the mouse button and drag the margin to the desired location
Tips:
To see the margin measurements, hold down the [Alt] key while dragging the margin.
Left and right margins can be adjusted from the horizontal Ruler line. Top and bottom margins can be adjusted from the vertical Ruler line.

You can define margins for your entire document, use the Page Setup dialog box.Using Page Set up you can change page margin, paper size , orientation, layout and many other features .
  • Go to File menu and click on Page Setup Or Double click on the Ruler .
  • Open Page Setup dialgo box , Set the page margins, paper size orientation etc
  • At last Click on Ok
Page Number :

Word provides two options for numbering pages. The first option adds a page number to each page of your document in either the header or footer. The second option, using the Header and Footer toolbar, is more appropriate for documents with multiple sections and allows you more control over the page numbering.

  • Go to Insert menu click Page Numbers
  • Click on Position dropdown list box and select position where you insert page number .(Top of the page or button of the page) .
  • Click on Alignment dropdown list box and select an alignment for the page number ( Left/Right/Center/...)
  • OPTIONAL: If you want the number to print on the first page, select Show number on first page
  • OPTIONAL: If you want to change the starting page number or the type of numbers (perhaps from Arabic to Roman..)
    1. Click on Format Tab...
    2. Make the appropriate changes
    3. When finished, click OK
  • Click on Ok
Header and Footer :

A header is text that is added and printed to the top margin of every page and a footer is text added and printed to the bottom margin. You can insert text or graphics in headers and footers. For example, page numbers, the date, a company logo, the document's title or file name, or the author's name that are printed at the top or bottom of each page in a document.

  • Go to View menu and click on Header or Footer
  • Type some text or insert logo at header or footer as per your require. You can switch between header and footer.
  • When you finished, click on close button. or Double Click on text area .

Insert AutoText Inserts AutoText - time saving entry composed of an abbreviation and an associated phrase
Inserts page number, inserts the number of pages, formats page numbers
Page Setup, Show/Hide Text Displays Page Setup dialog box, shows or hides document text
Inserts Date and Time Inserts date, inserts time
Same as Previous Makes the header or footer the same as the previous section
Switch Between, Show Previous, Show Next Switches between header and footer, shows previous, shows next
NOTE: The previous and next options are relevant when you are working with a document that is divided into sections.
close Closes Header and Footer view
Page Break :
  • Click where you want to start a new page.
  • Go to Insert menu and click Break.
  • Click Page break and click on Ok.
    or
  • Place the insertion point where you want the new page to be inserted
  • Press CTRL + ENTER
Removing Page Breaks
  • If paragraph markers are not shown on your page, on the Standard toolbar, click SHOW/HIDE (paragraph Mark)
  • Select the page break
  • Press [Delete]
Column Break :
  • Go to Insert menu and click Break.
  • Click Column Break and click on Ok.
    or
  • Place the insertion point where you want the new page to be inserted
  • Press CTRL +SHIFT+ ENTER
Print Preview :

Through this print preview process, you can see exact output on screen i.e. whatever display on this preview that will be exact output on the paper.

  • Go to File menu and then click on Print Preview Or CTRL + F2
  • Print: to print single copy of the document
  • Magnifiers: lets you zoom into better read small portion of the page and zoom out to get a bird’s eye view of one or more pages. It also toggles you in and out of the edit mode.
  • One page: displays a single page even if you are working with multi pages document.
  • Multiple pages: lets you specify the number of miniaturized page you’ll se on screen. Pressing this button reveals matrix that you drag across to design you screen display choices range from a single page to 3x6(18) pages.
  • Zoom Control: tells you the current Zoom percentage and pick a variety of Zoom options from a drop down list.
  • View Ruler: use to toggle the rulers that you use to see and change margin settings.
  • Shrink to Fit: tighten-up document that end with mostly white pages.
  • Full Screen: removes most of the print preview clutter (menu bar, status line etc.) so that you can see a bigger version of your document. Click on Full screen button to return the hidden controls.
  • Close: close the print preview.
  • Help: turn the pointer into a question mark. Pointing to the item of interest get help of that.
Printing Document :
 To print hard copy of the document on the printer, insert paper on the Pinter before you want to print and follow the instructions.
  • Go to File menu and then click on Print
  • Choose Print name.
  • Define Paper Size ,or other option
  • Select All to print all pages on the document.
  • Select Current page.to print current page
  • define pages as 1, 5 or 6-10,15-20 etc. in Pages box to print specific page,
  • At last Click on Ok
